How to organize your document requests (so people actually respond)

It's that time of year again, Spring is upon us and you're probably feeling the itch to do some Spring cleaning, maybe even more than in years past. Clutter doesn't just affect your home life, it can affect your workplace productivity too, particularly when those two spaces are coinciding. We've put together a few tips for keeping document requests organized as we move into the second quarter of 2021 to help keep you and your team on track for the rest of the year and ensure you're getting the documents you need, quickly.


1. Small bites are best. Remember you're working with other humans and we all have constant demands on our attention. Make your requests brief and to the point. Consider breaking up complex requests into multiple parts. Bitesized requests are easier to understand and more likely to be answered quickly and completely.


2. Group requests by function. Organized requests are significantly more likely to be fulfilled, especially if you are working with multiple counterparties. Group requests by function or type, such as "Financial statements," "Corporate Documents," and "Tax Returns." As an added bonus, these groupings make document review much easier.


3. Due dates are everybody's friend. If you have a long-running project or make regular, ongoing document requests, due dates will help keep everybody on track. Do you request the same documents every month from the same person? Create a new folder for each month to scope the requests.
